Student Enrolment Procedures

General ConditionsAJA – An IB World School accepts children without discrimination of sex, religion, race or nationality.

Admission to AJA – An IB World School will be determined by the Director, with the advice of the School Heads and Registrar, based on information obtained with respect to:

  •  the potential of the applicant to benefit from the educational services available; and
  • the capacity of AJA to meet the educational needs of the applicant.

Applications for admission for the current academic year will be considered in order of priority, date of application, and the results of entrance examinations and formal interview, as places become available.

At AJA, we recognise that the choice of school is one of the most important, and therefore the most stressful, aspects of an international move. Choice of school often determines choice of housing, and we understand the need for an 'early' confirmation of a place at AJA. However, regardless of how early we receive an application, our admissions timeline remains the same:

31 March: The deadline for present AJA families to re-register for the following year. Before this date we have no information about the availability of places for the following year.

April:: The period during which we process only the applications from our Main or Key Sponsor Companies who have priority status.

16 May: The point at which we process the applications we have received from unaffiliated families. This is done in order based on the date of receipt of the formal application documents.

June-August: We continue to process applications as they arrive. Applications from our Main or Key Sponsor Companies receive priority at the time of processing, but no places are reserved for them.

When families visit the Academy early in the year, they often seek an indication of the likelihood of admission. Unfortunately, this can sometimes lead to misunderstandings if optimism is interpreted as a firm commitment. Therefore, please be aware that any indication that you receive of the likelihood of admission to AJA can be no more than an informal and non-binding estimate based on the pattern of previous years, and should not in any way be interpreted as an offer, a provisional offer, or an assurance of an offer. AJA can only guarantee a place once a formal offer has been made, and accepted, in writing.

All placements are conditional. An interview with the Head of School and/or Director will be arranged prior to acceptance as part of the enrolment process. Placements are reviewed after 3 months. Admissions are conditional on a student’s ability to benefit from the tuition offered.

If a student requires prolonged individual support, the cost of the extra tuition will be the responsibility of the parents.

Applicants for admission are considered in the following priority order:

  •  children of staff;
  •  children of employees of a Main or Key Sponsor Company who have a sibling already enrolled in or admitted to the Academy;
  •  children of all other applicants who have a sibling already enrolled in or admitted to the Academy;
  •  children of employees of a Main Sponsor Company;
  •  children of employees of a Key Sponsor Company; and
  •  all other applicants.

Applicants who meet all admissions criteria are admitted for the appropriate year group based on age and current performance level, class size permitting. However, factors such as previous records, measured aptitude and achievement, physical and emotional development and other relevant details are also considered. The final decision rests with the Director. A six-week trial period in the class to which the student is assigned, is mandatory.

AJA – An IB World School reserves the right to deny admission or re-enrolment to any applicant if, in its opinion, there were reasons to believe that admission or re-enrolment would not be in the best interest of the applicant or AJA – An IB World School.

AJA – An IB World School also reserves the right to postpone admission if a class is full. In this case, the applicant is placed on a waiting list. The qualified applicants are then accepted in order of date of application, subject to the above priorities.

Entrance Age

A child may be accepted into a class if he or she is of age before 1 September. Minimum class ages are as follows:

Student Records from Other Schools

AJA – An IB World School requires student records from the applicant's previous school before any student is accepted. These records include reports, transcripts, results of standardised tests and any reports by a counsellor or psychologist (a checklist is provided). AJA reserves the right to contact the applicant's previous school prior to acceptance.

Interviews

All applicants will be interviewed by the Head of School and/or Director prior to acceptance as part of the enrolment process.

Entrance Test

There is a minimum English-language competence requirement since all key learning areas (with the exception of Modern Languages and Islamic History/Studies) are taught through the medium of English. All students for year groups above Year 2 are required to complete an entrance examination. Students for the Junior Primary School (Preschool – Year 2) will also be required to complete entrance requirements appropriate to their age group.

Medical Examination

The applicant must show evidence of a recent, and satisfactory, medical examination including a TB test, once enrolment is confirmed.

Notice of Withdrawal

Notice of a student’s withdrawal must be given to the Director, in writing, at the beginning of the term preceding departure. If the deadlines for notification of withdrawal are not adhered to, the following term’s fees become due in their entirety, even if the student does not attend. To avoid payment of the term’s fees following the student’s departure, the deadlines for notification of withdrawal must be adhered to:

  • leave the school by the end of the Autumn term (December), notification must be given by 30 September;
  •  leave the school by the end of the Winter term (March), notification must be given by 31 January;
  •  leave the school by the end of the Spring term (June), or end of the school year, notification must be given by 15 May.

Late Admissions

A student may be admitted to AJA – An IB World School at any time during the school year (if places are available).

Decisions on Admission

After all the admissions procedures have been followed, the application will be considered. Decisions will be given in writing.

Finance

Application Fee

An application fee of QR500 per student is payable when an application for enrolment is lodged with the Registrar. This application fee is non-refundable and does not count towards tuition.

Acceptance Fee

An acceptance fee of QR3,000 per student is due when AJA – An IB World School offers a place and the place is accepted. In order to be secured, the place offered by AJA – An IB World School needs to be confirmed by the applicant through payment of the acceptance fee within ten days of notification. This acceptance fee is non-refundable and does not count towards tuition.

Tuition Fees

Tuition fees for the following school year are set by the AJA – An IB World School Board in conjunction with the Director before 15 March. The fees are divided into three terms and are payable upon receipt of an invoice. In all cases, the tuition fees for a term which has started are payable in full. Unless the deadlines for notification of withdrawal are adhered to, the cancellation of a confirmed enrolment or re-enrolment entails the obligation to pay the fees for the current and following term. The same payment obligations apply in the event that it is necessary for the school to terminate the student’s enrolment at any stage during the school year.

The academic year is divided into three terms:

  •  Provision of all necessary transcripts relating to attendance and academic performance.

Late Payment of School Fees

In the event a student's tuition is overdue for payment, based on the due date of 20 days on the invoice, a three-reminder system shall apply. A reminder shall be sent 10 days after the due date, with payment due within 10 days. A second reminder shall be sent upon non-payment of the first reminder, with payment due within 10 days. Added to this invoice shall be a 1% per month interest charge, calculated from the original due date until the second reminder date. A third reminder shall be sent upon non-payment of the second reminder. At this time, the Director will contact the parents to assess the situation and make appropriate recommendations to the School Board.

Late Enrolment

Students enrolling during the first four weeks of school will be billed the full tuition for the year. Students enrolling after the first four weeks of school will be billed proportionally for the number of full or partial weeks of school remaining plus a late enrolment surcharge of 5% of the annual fees.

Early Withdrawal

Students withdrawing before 1st November are charged 30 % of the annual tuition fee. Students withdrawing before 1st February are charged 55% of the annual tuition fee. Students withdrawing before 1st April are charged 80 % of the annual tuition fee.

Refund of Tuition Fees

Refund of tuition fees can only be made if at least three months' written notice of withdrawal is given. All other arrangements for payments must be made with the Accounts Office and be approved by the Director.

Re-Registration

In March of each year, parents will be asked to complete and return a re-registration form, indicating whether their child will be returning to AJA the following school year. Places cannot be reserved unless there is a definite indication that a student intends to return and a deposit of QR2,000 paid for each student. This deposit will be credited against the term 1 fees for the new academic year.

Returning Students

Students who seek to re-enrol at AJA after attending another Qatari school will be required to pay a Acceptance Penalty Fee of QR3,000, in addition to the Application and Registration Fees, as well as lodging a term’s tuition fee as a bond.
